Job Description

Administrative Assistant

 

Reports to: FC General Manager

Primary Responsibilities:

 

Mail:

  • USPS
    • All incoming mail- route accordingly
    • All outgoing mail- ensure correct postage and ensure its delivery
  • E-mail
    • Microsoft Outlook
    • Route all electronic correspondence appropriately
  • FedEx
    • Maintain FC’s online FedEx account
    • Supplies

Phones:

  • Handle a multi-line phone system
  • Accurately take phone messages
  • Route all incoming calls
  • Divert superfluous calls and provide assistance when able

Filing:

  • Maintain electronic and paper files including the following:
    • Completed store orders & shipping documents
    • Post Audit Archive
    • Drivers route sheets and logs- by driver by month
    • Forms & Documents

FC Supplies and Maintenance:

  • Office Depot
    • General Office Supplies
    • Administrative Services
      • Driver’s log books, shipping seals, AP logs
      • Building office supplies
        • Staples 

Customer Service / ILS WMS:

  • Store Order Management (entry, review, corrections, waving, assign carriers, delivery confirmation, printing)
  • Receives\confirms all store transfers throughout warehouse inventory
  • Complete daily driver paperwork
  • Provide directions for drivers
  • Provide assistance when directed

Weights and Measures:

Aging Inventory:

  • Research aging items and movement within BOSS
  • Create store orders based on research 

Damage Claims:

  • Knows and understands how to use the RMA application on the Aaron’s Network to process damage claims for stores.
  • Knows how to generate and process claims for the fulfillment center.
  • Knows and understands how to use the Data Repository on the Aaron’s Network to track inventory movement and evaluate claims for acceptance or denial.
  • Apply vendor and store credits as received.
  • Effectively communicates with vendors, stores, and General Manager concerning damage claims.
  • Requests photos from stores as necessary and ensures original boxes are intact for serialized items.
  • Maintains inventory accuracy in the damage area and properly labels all items with RTOID and disposition.
  • Maintains a damage discount flyer to expedite scratch and dent items to stores.
  • Maintains file for in-process damage claims.
  • Maintains spreadsheet for vendor credit requests and monitors appropriately so that the warehouse does not incur any charges.
  • Process vendor credits/discounts.
  • Maintains file for all completed claims with all appropriate paperwork including original claim and credit paperwork.
  • Maintain Damage Control Excel Spreadsheet as approved by General Manager.

Management:

  • Assist in damage claims portion of Month End report
  • Provide assistance when directed

General Office:

  • Cleaning
  • Provide Assistance to walk – ins
  • Other duties as assigned
